Job Description
This job description is intended primarily as an illustration of the type of work to be performed by the Finance & Administration Director.  The Finance & Administration Director is a member of the Finance and Administration Department and a key member of the Senior Management team. This position is supervised and evaluated by the Managing Partner. 
 
The incumbent is responsible for process optimization and implementation of financial system conversion; establish, monitor and enforce policies and procedures for an effective system of internal controls; staying abreast of emerging technologies, prepare financial forecasts and reports; and coordinate the annual audit. The Finance & Administration Director supervises and manages the finance and administration team. The incumbent is also expected to contribute relevant input into the evaluation of team performance, technical systems, policies, and procedures. The incumbent is expected to accomplish organization goals by accepting ownership for achieving new and different requests and exploring opportunities to add value to job accomplishments. Furthermore, the Finance & Administration Director should continuously update job knowledge by participating in educational opportunities and reading professional publications.

Responsibilities:
 
Financial Management
•Collaborate with the Managing Partner to improve financial controls and analyze key financial reports to identify inefficiencies in the Firm and spot opportunities for improvement to the Firm’s bottom-line.
•Coordinate with and supervise the Accounting Specialist on general ledger and trust accounting.
•Manage the department’s billing functions (e.g. monitoring collections on payment plans, support the contract closing procedures, creating systems to ensure that completed work gets billed timely and in plain English, etc.).
 
Administration Management
•Supervise the Human Capital Manager in the processes of recruiting, selecting, orienting, and training employees; developing KPIs (key performance indicators) for all employees; and maintaining the Employee Handbook up-to-date.
•Approve the purchasing of office equipment and supplies.
•Maintain a safe and healthy work environment by establishing and enforcing organization standards.
•Manage human capital procedures by supervising the development of schedules; assigning and monitoring work; implementing productivity standards; resolving problems; and implementing new procedures.
•Prepare all financial reports including month-end closing and year-end closing.
 
Qualification:
•Bachelor's degree in Business, Accounting or Finance preferred.
•Knowledge of QuickBooks required.
•Fluency in Spanish is a must; reading, writing, and comprehension.
•A minimum of 5 years of experience in an accounting or finance role required.
•Previous knowledge of legal or other professional service organizations.
•Tech savvy, coupled with a process-oriented mindset with strong analytical and problem-solving skills.
•Ability to prioritize a busy workload, work in a fast-paced, dynamic environment and do what it takes to meet deadlines.
•Flexible and resilient in an ever-evolving atmosphere
•Strong written and verbal communication skills.
